Preamble
The Heritage College Foundation respects your privacy and is committed to protecting your personal information. As our goal is to raise funds, we use and disclose information daily for the purposes of solicitation, participation in events, meetings, draws and sweepstakes; The protection of your personal information is therefore a priority for us.
The purpose of this policy is to set out our highest ethical standards for the protection of personal information. By providing us with personal information through our website, by filling out a form or by making a donation, whether in person, by email or by phone, you agree that it will be treated in accordance with this policy, and you authorize the Heritage College Foundation, its third parties and its service providers to process your personal information for the purposes set out below.
This policy does not apply to third-party websites linked to our site, and the Foundation is not responsible for the processing of your personal information, which must be governed by their own privacy policy.
In this policy, the Heritage College Foundation is referred to as “The Foundation”.
WHAT PERSONAL INFORMATION DO WE COLLECT?
We collect different types of information depending on the activities or services of the Foundation, including:
- Personal or professional contact information: Last name, first name, date of birth, address, email, date of birth, telephone number and in some cases the Social Insurance Number.
- Information about your history: Job title, employer, resume, your networks, professional affiliations, degrees, photos, video and audio content, etc.
- Communications with the Foundation
- Marketing or survey information
- Information related to current and past contributions, invoicing, bank account, payment data
- Information about the training you have received and the programs you have been enrolled in
- Account information, passwords, any personal information that facilitates the use of the Foundation’s site, information collected through cookies or other tracking technologies
- Information concerning general data about the hardware, software used, web browser, IP address, etc.
- Your community giving and investment policy, contributions, any information exchanged within the framework of the organization and its mode of operation.
- Any other personal information provided.
If you provide us with information about a third party, you represent that you have received the necessary authorizations from that person so that we can collect, use and disclose their personal information as described in this policy.
This policy applies to information that may directly or indirectly identify you, for statistical purposes, percentages, or for various reasons.
HOW DO WE COLLECT YOUR PERSONAL INFORMATION?
We collect this information when you interact with us, either:
- When you register for events, newsletters, etc.
- When you donate to our organization
- When registering (volunteer for example)
- When you receive a scholarship funded by the Foundation
- When you become an employee or consultant for the Foundation
- When you fill out forms or requests through our website or social media.
Some information is publicly available, including on public platforms.
HOW DO WE USE PERSONAL INFORMATION?
We only use personal information for the identified purposes for which it was collected, and we do not use it for any other purpose without the consent of the individual concerned, or on a legal basis.
We primarily use your personal information in the following circumstances:
- Where you consent to such collection and use, such as by agreeing to this Privacy Policy
- Where necessary, to provide the services you request from us
- When we need to comply with a legal obligation
- For another pattern compatible with the initial pattern. If you have any questions about this change in design, please contact us.
Please note that we may process personal information without your knowledge or consent, in accordance with the above rules, where required or permitted by law.
FILES, COOKIES, AND PIXEL TAGS
By accessing our site, you consent to the Foundation’s use of cookies and pixel tags that allow us to recognize you and personalize your navigation. You can generally modify your browser settings to refuse, limit, block or delete them, but this may affect your ability to use our website.
WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?
We may share this information with any entity in the Foundation’s network. We may also share this information with third parties, including:
- The Cégep with which we are affiliated
- Volunteers from the Foundation
- Third-party service providers, including for donations, database analysis, computer services, etc. We limit this information to that which is necessary for the proper performance of the contracts we have entered into with these suppliers, and provided that they maintain the confidentiality of this information.
- Government authorities and law enforcement agencies
We only use your personal information to fulfill the primary and legitimate purpose for which it was collected. The Internet is not a secure medium of communication and we make no representations or warranties as to the absolute security of the personal information transmitted in this way. You acknowledge that the transmission of personal information via the Internet is at your own risk. We cannot guarantee that such information will not be accessed, obtained, disclosed, altered or destroyed as a result of a breach of our technical, physical or administrative safeguards.

HOW LONG DO WE KEEP YOUR PERSONAL INFORMATION?
We retain personal information only for as long as necessary for the purposes set out in this Privacy Policy and to comply with our legal and regulatory obligations. We can keep your documents longer in the event of a complaint, or risk of litigation.
WHAT RIGHTS DO YOU HAVE OVER YOUR PERSONAL INFORMATION?
In certain circumstances and in accordance with the Applicable Laws, an individual has the following rights:
- Access: the right to request whether we are processing information, and if so, the right to request access to that information. Subject to the applicable law and the payment of a monetary sum, the person may receive the requested information about him/her.
- Rectification: the right to request rectification of any incomplete or inaccurate personal information we hold. If we have disclosed this information to third parties, we will inform them of the rectification if this is possible or does not require disproportionate effort.
- Erasure: the right to request the deletion or deletion of your personal information, to de-index any hyperlinks giving access to such information. If such information has been disclosed to third parties, we will take reasonable steps to notify those third parties where possible and does not require disproportionate effort.
- Anonymization: The fact that our organization can, instead of destroying it, make this personal information anonymous in order to use it, for serious and legitimate purposes.
You may withdraw your consent at any time. However, this will not affect the legitimacy of the procedures for processing your personal information carried out prior to the withdrawal of your consent. If you withdraw your consent, we may not be able to provide you with certain products or services. It is possible to lodge a complaint with a supervisory authority to which you belong. In Quebec, the Commission d’accès à l’information is competent to follow up on your complaints, as well as the Office of the Privacy Commissioner of Canada for your questions about the protection of your personal information. However, before filing a complaint with your supervisory authority, please contact us.
